Group Class Policy

A. FREE Course Recommendation

For parents and students who are unsure about the correct course of study, we recommend contacting our team to get a personalized recommendation for the class that best suits their needs. Please email us at info@tokyocodingclub.com.

 

B. Custom Request Classes 

If our current class offerings or schedule do not suit you, or you are looking for a more personalized curriculum, we can also create a custom group class. 

  • Parents and students are welcome to request a class on any subject either in-person or online. 
  • The schedule, duration and frequency will be determined by student and tutor availability and need. 
  • Custom classes require a minimum of 2 students per lesson. 
    • Classes where only 1 student is able to attend will be invoiced at the private lesson rate.

C. Redundant Classes (Weekly Group Class) 

Each week, we may run multiple classes with the same title that cover the same content. To avoid covering the same lesson content multiple times, please sign up for only one of these recurring classes each week.

 

D. Class Billing 

Weekly Group Classes 

  • Weekly classes are billed at the end of the month. Alternatively, families can opt to prepay for the whole course term and receive a 10% discount on the pre-tax price.
  • Families who do not prepay are billed only for the classes they have registered for and attended (with the exception of cancellations made less than 24 hours in advance). Families who do prepay will not be refunded for missed classes.
  • If you join the class for one lesson and find it does not suit you, please contact us before the next class to withdraw from the term. You will not be charged for your first class if you withdraw at least 24 hours before your second class.

Intensive Group Classes 

  • Intensive classes are billed at the end of the month.
  • If you join the class for one lesson and find it does not suit you, please contact us before the next class to withdraw from the term. You will not be charged for your first class if you withdraw by 7:00 PM JST on the same day of the audit class.

 

E. Class Location

  • All of our group classes will either be held in person, at our learning centers in Nishiazabu, Futakotamagawa, or online. Please be sure to check the location before registering.

 

G. Registration Policy: 

  • For our weekly group classes, students can join classes after the start date if indicated by the instructor. Please reference our group class schedule to see classes marked as “can join part way.”
  • For our intensive (daily) group classes, please inquire if you would like to join after the start date. In general, intensive (daily) group classes can only be joined from the second session.
  • For both weekly and intensive (daily) group classes, make-up lessons may be recommended or required if joining after the start date. 
  • To join or audit a class, students MUST register 24 or more hours before the next lesson.

Group Class – Cancellation Policy

1-on-1 lessons: 

Cancellation Terms: 

  • There is free cancellation if you cancel 24 hours or more before the lesson. 
  • If you cancel within 24 hours, you will be charged the full price of the lesson.

Weekly Group Classes:

Cancellation Terms: 

  • If you join the class for one lesson and find it does not suit you, please contact us before the next class to withdraw from the term. You will not be charged for your first class if you withdraw at least 24 hours before your second class.
  • Within a class term (e.g. fall), you may cancel any individual class as long as you cancel 24 hours or more before the lesson. This does not apply to families who opt for prepayment. In either case, a makeup lesson is recommended to stay up to date with the course content.
  • When a student cancels less than 24 hours before class, they will be charged.
  • Students who fail to notify Tokyo Coding Club of any absence beforehand will be charged for the missed class.

  • Should you fail to notify us of an absence from the class before by 7:00 PM JST the day prior, you will be charged for the missed class(es). For example, if you will miss Wednesday’s class, you must notify us by 7:00 PM JST the day before (Tuesday).
